About Donor Thank-You Letters

Donor Thank-You Letters is a small, single-purpose tool for the person at a tiny US nonprofit who has to send donation acknowledgment letters at year end — usually a volunteer treasurer, a board secretary, or a part-time bookkeeper. You paste the gift list you already keep in a spreadsheet, check the preview, and download one file with a letter for every donor.

Why it exists

The IRS asks donors to hold a written acknowledgment for any single gift of $250 or more, and Publication 1771 spells out what that acknowledgment has to say: the organization's name, the amount or a description of a non-cash gift, and a clear statement about whether any goods or services were provided in return. Most small organizations know this, but the letters still get written one at a time in a word processor every January. Mail-merge works, yet setting it up once a year is a chore, and it is easy to forget the "no goods or services" sentence. This tool bakes that wording in so you cannot leave it out.

How it works

  • Paste a spreadsheet (donor name, amount, date, optional address and gift description).
  • Choose year-end summary letters or one letter per gift.
  • Preview each letter, then download a PDF or a Word (.doc) file, or email a single donor.
  • Everything runs in your browser — donor data is never uploaded to our servers.

Pricing and who builds it

Your first batch is free: one complete set of letters from your own donation list, in any export format, with no letter limit. A subscription for organizations with more lists is planned but not available yet (there is a waitlist; no price is set and no card is taken). No account is needed. The tool is built and operated by an independent maker on the Base44 platform.
